Application Status and Notifications
It is the applicant’s responsibility to monitor the status of their application and application materials on a regular basis, and to follow up with VMCAS on any incomplete or undelivered status, and on any incomplete or missing documents. VMCAS will NOT notify you that your application is incomplete or that documents are missing. To aid you in tracking your progress, you have several tools provided on your application:
YOUR APPLICATION STATUS:
Your application’s status is displayed for each veterinary program to which you have applied. You can view your current status by clicking the “Add Programs” box on your dashboard, and then click the “Check Status” tab on the upper right. Please note the following statuses:
In-Progress: Your application has not yet been e-submitted to VMCAS. Upon e-submission, you will receive a confirmation e-mail and message sent to your notification inbox.
Received > Awaiting Materials: Your application has been e-submitted, and required fees have been paid. Documentation such as transcripts or letters of recommendation are still missing, which are required to move to complete status.
Materials Received > Verifying: Your application is complete and in line for verification.
Undelivered: An error has been found, and your application has been returned to you for correction. Once corrections are made, the applicant must re-submit the application to VMCAS to be processed.
Verified: Your application has been processed, and your GPA has been calculated. You will receive a confirmation e-mail and message to your notification inbox confirming that your application was verified.

On the left of your application is your “VIEW MY NOTIFICATIONS” message inbox. VMCAS will notify the applicant if there is a problem with the transcript entry section of the application OR if we have received incomplete or invalid transcripts. Automated e-mails are also sent when your application is e-submitted and when your transcripts, references, and GPA are processed.
VMCAS sends notifications BOTH via e-mail AND to the “Notifications” section of your online application. Because some e-mail notifications may be filtered as junk, APPLICANTS ARE RESPONSIBLE FOR MONITORING THEIR VMCAS “My Notifications” INBOX. VMCAS is NOT responsible for notifications that applicants do not receive in their e-mail inbox, as these messages will also appear in your VMCAS notification inbox.
COMMON QUESTIONS:
Q: Will VMCAS update or e-mail me on the status of my application?
A: VMCAS WILL NOT UPDATE APPLICANTS ON THE STATUS OF THEIR APPLICATION! VMCAS will notify the applicant if there is a problem with the coursework section of the application OR if we have received incomplete or invalid letters of reference or transcripts. Automated e-mails are also sent when the application is e-submitted and when transcripts, references, and GPA are processed. However, you WILL NOT be notified that documents or other materials are MISSING. IT IS THE APPLICANT’S RESPONSIBILITY TO MONITOR THE STATUS OF THEIR APPLICATION ON A REGULAR BASIS.
Q: How do I know if VMCAS received my document or payment?
A: You can monitor the status of your transcripts, references, payments, and test scores by clicking on the “Check Status” tab. Received transcripts and payments will be displayed with a DATE RECEIVED, and evaluations will display with a DATE COMPLETED. If your item does not have a date, then we have not received it.
Q: How do I know my application has been submitted?
A: After clicking “submit and pay” and completing all of the steps, you will receive an e-mail and message to your notifications inbox confirming that your application was submitted.
Q: How do I know my application has been “completed?”
A: Your application is considered “complete” when the following actions occur:
- All official transcripts are listed, EACH with a date received in your “Program Status” menu.
- At least three of your references are listed on your “Evaluations” page.
- Your payment is marked as received with a date received in your “Program Status” menu under “View Payment History.”
- You have received an e-mail confirmation that you submitted the application.
- Your application “Program Status” menu reads as “Materials Received > Verifying.”
Q: My application is “complete.” What happens next?
A: Your application is placed in line to be reviewed by our verification staff and have your GPA calculated. Applications are reviewed on a first come, first-served basis by the date your application became “complete”. Please note that during our busiest season, it may take up to FOUR WEEKS for your application to be reviewed and verified from the date it becomes complete. The average turnaround time is two and a half weeks. Once you have been verified, you will receive an e-mail and message to your notification inbox confirming that your application was verified.
Q: How do I know my programs received my application?
A: Once your application has been verified, its status is no longer tracked by VMCAS. Any further inquiries regarding your application should be made directly to the programs to which you are applying.
Q: When and how will I hear from my programs regarding admissions?
A: VMCAS is not part of the admissions process, and school programs do not notify our service as to the admissions status of applicants. We advise contacting the program directly to determine the schedule of their admissions process and for updates on the status of your application.
Q: Why haven’t I received email from VMCAS or my designated veterinary programs?
A: Some email providers use filters to prevent users from receiving “Spam” (unsolicited, junk email). Email filters may interpret an email from VMCAS or a veterinary program as “Spam” and automatically delete a message to you. To avoid missing important VMCAS emails, turn the “Spam” or “Junk” email filters off during the application cycle. If your email provider does not allow you to turn the filter off, you may have access to a “junk mail file” that archives all messages identified as sent to multiple addresses. Periodically check your Spam/junk email file for VMCAS related messages. If you do not currently have an email address or are unable to turn off the Spam/junk filters described, please establish a new email account.
